How to Switch from Tally to Cloud Billing Software — Migration Guide India 2026

10 Jun 2026·8 min read·By Udyog Team

While Tally is a powerful tool for professional accountants, many small business owners find its desktop-centric model administrative. It requires a specific PC, manual data backups, and lacks mobile access or voice invoicing. Moving to a cloud-based system allows you to bill from anywhere, share invoices instantly on WhatsApp, and coordinate easily with your accountant.

This migration guide explains how to transition your customer logs and inventory records from Tally to cloud software like Udyog without data loss.

Why Businesses Are Leaving Tally

  • Lack of Mobility: Desktop-only installation restricts billing to the physical shop counter.
  • High Licensing Fees: Standard Tally Prime costs around ₹18,000/year per single user.
  • No Voice Billing: Typing multi-item invoices manually takes time during busy hours.
  • Complicated Interface: Requires specialized training to manage simple daily invoice records.

What You Need Before Migrating

  • Customer Master Directory: Your customer list, including names, contact numbers, and GSTINs.
  • Product/Item Master Directory: Your inventory list, including HSN codes, tax rates, and prices.
  • Choose a Migration Date: Start of a new month is ideal for keeping clean financial records.

Step 1 — Export Your Data from Tally

  1. 1Open Tally and navigate to Gateway of Tally → Display More Reports → List of Accounts.
  2. 2Export your customer ledger directory as an Excel spreadsheet.
  3. 3Navigate to Inventory Info → Stock Items, and export your product directory as an Excel spreadsheet.

Step 2 — Prepare Your Import File

  1. 1Format your customer list in Excel with columns for Name, Phone, GSTIN, Address, and State.
  2. 2Format your product list with columns for Product Name, HSN, GST Rate, Unit, and Selling Price.

Step 3 — Import into Udyog

  1. 1Log into your Udyog account, go to Settings → Import Data.
  2. 2Upload your formatted customer and product spreadsheets.
  3. 3Verify the import mappings to ensure your records are populated correctly.

Step 4 — Configure GST Settings

  1. 1Enter your business GSTIN under Settings; Udyog will configure your local state prefix automatically.
  2. 2Set your starting invoice number sequence and input your bank payment details.

Step 5 — Go Live

  1. 1Create your first invoice in Udyog and share it on WhatsApp.
  2. 2Invite your CA to access your portal, and archive your old Tally files for historical reference.

What Happens to Your Old Tally Data

Keep your Tally software installed as a read-only archive for historical auditing. You do not need to import old transaction histories; start fresh with your opening balances in Udyog, using Tally for reference when filing previous years' taxes.
